Question 1

What is a roofing CRM and why do contractors need one?

Accepted Answer

A roofing CRM (Customer Relationship Management) is software built specifically for roofing contractors to manage leads, track jobs, automate follow-ups, and handle the full lifecycle of a roofing project from first contact to final payment. Without one, most contractors rely on spreadsheets, sticky notes, and memory. That is how leads die in what the industry calls The Black Hole, the gap between a lead coming in and someone actually responding. The best roofing CRMs go beyond basic contact storage. They handle insurance claim tracking, automated text and email follow-ups, crew scheduling, invoicing, and even AI-powered damage analysis. Platforms like CompanySync consolidate 7+ tools into one dashboard so contractors stop paying for a separate CRM, measurement tool, email platform, review manager, and accounting app. If your business does more than 5 jobs a month, you need a CRM.

Question 2

How fast should a roofing company respond to a new lead?

Accepted Answer

Under 5 minutes. Research shows that 95% of home service companies fail to respond to leads within five minutes, and that is the exact window where your conversion probability is highest. After 5 minutes, your odds of making contact drop by over 400%. After 30 minutes, that lead has already called your competitor. This is why speed-to-lead automation matters more than any other CRM feature. The best roofing CRMs fire off an instant SMS the second a lead hits the system, without a human needing to touch anything. CompanySync sends automated, personalized text messages within 60 seconds of lead capture, whether the lead comes from Facebook, Google, a referral, or a door knock. Your rep gets notified. The lead gets engaged. Nobody falls through the cracks.

Question 3

What features should I look for in a roofing CRM?

Accepted Answer

Here is the non-negotiable feature checklist for any serious roofing CRM in 2025: Automated Lead Follow-Up via SMS and email (instant, not manual). Visual Pipeline or Kanban Board to track every job from inspection to final payment. Xactimate Integration for insurance-approved estimates and supplement tracking. A phone-ready system that works from the truck, the roof and the kitchen table. AI Damage Analysis so reps can photograph damage and get instant assessments. Crew Scheduling and Assignment including round-robin lead distribution. Invoicing and Payment Processing with Stripe integration. Review Request Automation to build your Google reputation hands-free. Marketing Automation including drip campaigns and Facebook lead ad integration. Commission Tracking for multi-rep sales teams. If your current CRM is missing more than two of these, you are leaving money on the table. CompanySync covers all ten in a single platform.

Question 4

How much does a roofing CRM cost per month?

Accepted Answer

Roofing CRM pricing typically falls into three tiers. Basic or Startup: $49 to $99 per month, usually just contact management and basic pipelines with limited automation. Professional: $100 to $299 per month, adds automation, integrations, and team features, this is where most growing companies land. Enterprise: $300 or more per month, full-suite platforms with AI, advanced reporting, and unlimited users. Watch out for hidden costs. Many CRMs charge per user, per text message, or lock critical features behind expensive add-ons. A $99 per month CRM can quietly become $500 per month once you add 4 sales reps and need SMS automation. CompanySync offers transparent pricing with no per-user fees, no setup fees, and no long-term contracts. You get the full platform from day one so your costs stay predictable as your team grows.

Question 5

Can a roofing CRM help with insurance claims and supplements?

Accepted Answer

Absolutely. This is where a roofing-specific CRM separates itself from generic platforms like HubSpot or Salesforce. Storm restoration contractors live and die by the insurance claim process. The real profit is not in the initial estimate. It is in the supplement, the additional funds you request from the insurance carrier for items the adjuster missed. Common missed supplement items include drip edge code upgrades, starter strip labor, steep charges on pitches above 7/12, cornice strips, and debris removal at actual dumpster cost. CompanySync integrates directly with Xactimate pricing, auto-populates commonly missed line items, and helps you build supplement packets with AI damage photos and proper documentation that adjusters actually approve. It also tracks ACV vs. RCV payments and depreciation holdbacks so nothing slips through.

Question 6

What is the best CRM alternative to JobNimbus for roofers?

Accepted Answer

JobNimbus is the incumbent, but many contractors outgrow it because it lacks built-in marketing automation, advanced AI features, and true all-in-one consolidation. You still end up paying separately for email marketing, review management, and measurement tools. CompanySync was built as the next-generation alternative. Instead of bolting together 7 disconnected apps, it puts your CRM, estimating, marketing automation, AI damage analysis, invoicing, crew management, and review requests under one roof. The key differentiators include an AI Storm Predictor that identifies hail and wind damage areas before the storm hits, AI-Powered Estimating that generates proposals in under 3 minutes with full material lists, built-in HeyGen AI Video for trust-building follow-ups at scale, and an Automated Review System that runs completely hands-free after invoice payment. If you are tired of app fatigue and broken integrations, CompanySync is built to replace the stack, not add to it.

Question 7

How does a roofing CRM help me get more Google reviews?

Accepted Answer

The contractors who dominate local search have one thing in common: a systematic, automated review request process. Most roofers ask for reviews verbally at the job site and then forget. The homeowner means to leave one but never does. That is why manual review collection fails. CompanySync Automated Review Request System triggers the moment an invoice is marked Paid. It sends both an email and SMS with your custom Google review link on Day 0, then follows up automatically on Day 3, Day 6, Day 9, and Day 12 if no review is left. Contractors using this system average 4 to 7 new reviews per month completely hands-free. Over a year, that is 50 to 80 or more reviews building your Google reputation while you focus on roofing, not begging for stars.

Question 8

Can I use a roofing CRM from my phone on the job site?

Accepted Answer

Yes, and if you cannot, switch CRMs immediately. Roofing professionals work from trucks, rooftops, and kitchen tables, not behind desks. Any CRM that requires a desktop computer to function is built for the wrong industry. CompanySync is fully mobile-optimized for iPad, iPhone, and Android. From your phone you can respond to new leads via automated or manual SMS, pull up property data and generate estimates on the spot, photograph roof damage and run AI analysis instantly, update job status on the Kanban board, capture e-signatures on contracts, and check your pipeline value and commission reports. The interface is intuitive enough that teams can start using it within hours, not months. No steep learning curve, no expensive hardware, no IT department required.

Question 9

How does a CRM help roofing companies stop losing leads?

Accepted Answer

Leads die for three reasons: slow response, no follow-up, and disorganization. A proper roofing CRM kills all three. Slow response is solved by instant automation. The second a lead enters CompanySync from any source such as Facebook ad, Google, referral, or manual entry, an automated SMS fires within 60 seconds with a personalized question hook that forces engagement. No follow-up is solved by drip sequences. CompanySync runs a 14-day automated nurture campaign combining text, email, and even AI-generated video follow-ups so no lead goes cold because your rep got busy on a roof. Disorganization is solved by round-robin lead assignment and a visual pipeline. Leads are automatically distributed to the right rep based on territory and workload. Every lead has a status. Every status has a next action. Nothing lives in someones head or a forgotten text thread. The result: you convert more of the leads you are already paying for instead of burning money on ads that feed The Black Hole.

Question 10

Is a roofing CRM worth it for a small company with only a few crews?

Accepted Answer

Yes, and arguably more so than for large companies. Small roofing companies cannot afford to lose a single lead. Every missed follow-up is an $8,000 to $15,000 job walking out the door. A CRM that costs $100 to $200 per month pays for itself the first time it saves one deal you would have lost. The real value for small companies is consolidation. Instead of paying separately for a CRM at $50, email marketing at $30, review management at $60, accounting at $40, and a measurement tool at $50, that is $230 per month in disconnected tools that do not talk to each other. CompanySync replaces that entire stack with one platform. One login. One dashboard. One bill. And because it automates follow-ups, review requests, and lead distribution, it acts like hiring a full-time office manager without the salary. Small does not mean disorganized. The contractors who scale from 2 crews to 10 are the ones who install systems early. CompanySync is that system.
